TERMS AND CONDITIONS 

BOOKINGS

1.The hirer is the person completing the booking form and is responsible for ensuring that the terms and conditions are adhered to for the duration of the hire.

2.The hirer must be at least 21 years of age

3. A booking form must be submitted

4. Provisional bookings may be made but must be confirmed within 7 days by submitting a booking form.

5. The Management Committee reserves the right to refuse a booking application

6. The Management reserves the right to refuse certain activities, Roller Skating, football, conflicting activities to those that are already on site. Yoga and Clay school.

7. The premises shall not be used for any purpose or in any manner other than that’s stated on the booking for and agreed by management. The barn shall not be sub-let to another person or organisation.

7. Cancellations- All cancellations must be in writing to info@thebarnatbarnsgate.co.uk

8. If cancelled within 14 days the booking fee will be retained unless an alternative booking for that period is received.

 

DEPOSIT

1. A refundable deposit of £100 is required to secure your booking. Paid by Bacs.

2. Deposits will be returned to the hirer within 10 days of receipt of repayment details.

3. A proportion (or total) of the deposit maybe deducted if

-Damage is caused

- Extra Cleaning is required,

-The event runs past the time booked.

-Late cancellation within 14 days of event.

4. Any disputes regarding the return of the deposits must be made in writing to the management.

 

HIRE CHARGES

1. Booking time must include hirers own time needed for setting up and clearing away (not just the published time of event). Hirers are responsible for room set up and break down.

2. Payment of Barn charges (Separate to the deposit) must be paid in full at point of booking confirmation.  The management reserves the right to cancel a booking if the barn charges have not been paid.

3. If the booking is cancelled within 14 days of the hire date, no refund will be given.  Any disputes must be in writing.

4. An initial site visit, if you do not know the barn is recommended and is free of charge. This is to familiarise yourself with fire exits and general health and safety.

5. For weekly events the hirer must pay the first month in advance. Thereafter commercial hirers will be invoiced monthly in advance. Payment must be made 14 of the invoice.

6. If invoices accrue for longer than 60 days, the management reserve the right to cancel the booking and/or decline future bookings

 

HIRERS RESPONSIBILITIES

1. For all public events the wheelchair access door must be open.

2. Hirers responsibilities for putting out and clearing away any tables and chairs.

3. Hirers are expected to leave the barn and surrounding area in a clean and tidy condition.

4. Landfill and recycling bins are provided. Hirers must take away any glass recycling and any excess rubbish.

5. Any damage must be reported at the earliest opportunity.

6. Music must stop at 10pm. Functions must stop at 11pm.

7. When leaving, all lights must be switched off, heating thermostat turned down, and windows and doors closed securely.

8. The named Hirer must be present throughout the event.

9. There must be at least one male and one female responsible person at any party involving minors and at least one adult for every 10 minors present.

10. Ensuring that in order to avoid disturbing neighbours to the barn and to prevent violent or criminal behaviour, care shall be taken to avoid excessive consumption of Alcohol.

 

HEALTH AND SAFETY

1. At all times the hirer must take reasonable steps to ensure appropriate precautions are in place to prevent accidents, damage or injury.

2. Smoking and vaping is prohibited inside the barn. No smoking notices are displayed and failure to comply with this condition may result in the loss of your deposit.

Hirers are responsible for any electrical equipment used on site.

3. All portable electrical equipment brought into the barn must have an up-to-date PAT test.

4. All spillages must be cleared up immediately to prevent slips. Mop and bucket are provided.

5. First Aid box is located in the kitchen cupboard.

6. In case of fire please follow the instructions that are on the notices in the barn.

7. Naked flames and smoke machines are prohibited

8. Hirers are responsible for making themselves aware of the location of fire extinguishing equipment.  All fire extinguishers are inspected regularly and must be kept in their proper places.

 

SECURITY

1. The keys and keycode must not be passed onto a third party without explicit permission of the management.

2. Lost property will be kept for 28 days.

INSURANCE

1. The barn is covered by Public Liability insurance.

2. Commercial hirers are required to provide the management with a copy of their insurance upon request.

3. If the hirer is holding an event to which members of the public are admitted, then insurance is essential.
